We respect your privacy and are committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, and safeguard your data when you access or use RileyWrites, our AI-powered content generation and writing assistance tool (the "Service").

This Policy is incorporated into and forms part of our Terms of Service. Capitalized terms not defined here have the meaning given in the Terms of Service. By using the Service, you acknowledge the practices described below.

2. Information We Collect

A. Information you provide directly

• Account registration and profile data (e.g., name, email, password)
• User Content, including Inputs (prompts, prior content, files, text) and Outputs generated by the Service
• Payment and billing information (for paid accounts)
• Communications with us (support requests, feedback)
• Information from third-party logins (e.g., Google Sign-In: basic profile data such as name and email, as permitted by your settings)

B. Information collected automatically

When you use the Service we (and our third-party partners) automatically collect:

• Device, browser, and usage data (IP address, operating system, device type, pages visited, features used)
• Usage analytics (e.g., prompts submitted, Outputs generated, session duration)
• Cookies and similar technologies (see Section 5)

We may also collect aggregated, pseudonymized, or de-identified data derived from User Content for service improvement purposes.

3. How We Use Your Information

We use your information to:

• Provide, maintain, personalize, and improve the Service, including style adaptation based on your prior content
• Process and deliver AI-generated Outputs
• Enable optional model training and improvement on your User Content (unless you opt out via account settings, where available)
• Manage your account, process payments, and handle subscriptions
• Ensure safety, security, and compliance (including fraud prevention and Acceptable Use Policy enforcement)
• Respond to your communications and provide support
• Conduct analytics, research, and product development
• Comply with legal obligations

AI-Specific Note: Because the Service uses generative AI, your Inputs may be processed by upstream AI providers. Outputs are probabilistic and we do not use them to train models without your explicit consent where required.

We do not sell your personal data in the traditional sense. However, certain uses of data (e.g., for analytics or advertising features, if applicable) may be considered "sharing" under California law (CCPA/CPRA). See Section 8 for opt-out rights.

4. Who We Share Your Data With

We share data only as necessary and with appropriate safeguards. Key categories include:

We do not share your raw User Content with third parties for their own marketing purposes. Full details of our current sub-processors are available in the separate List of Sub-processors (a Linked Policy).

5. Cookies & Tracking Technologies

We use essential cookies for authentication and functionality, plus analytics cookies (e.g., Google Analytics) to understand usage and improve the Service. You can manage cookies through your browser settings.

6. Data Retention

• Account data and User Content: Retained while your account is active, plus a reasonable period afterward for legal or safety purposes (or until you request deletion, subject to legal obligations).
• Training data (if not opted out): Used only as long as necessary for model improvement.
• Payment records: Retained as required by tax and accounting laws.
• Analytics data: Typically 26 months or less.

Upon account termination (per the Terms of Service), we are not required to retain User Content, but we may retain de-identified or aggregated data indefinitely.

7. International Data Transfers

Your data is hosted and processed primarily in the United States. When transferring personal data outside the EEA, UK, or other regions with adequacy decisions, we rely on the EU-U.S. Data Privacy Framework (where applicable), Standard Contractual Clauses, and other appropriate safeguards. By using the Service you consent to these transfers.

8. Your Rights & Choices

Depending on your location (including California and the EU/UK), you may have rights to:

• Access, correct, or delete your personal data
• Opt out of certain processing (including any "sale" or "sharing" of data)
• Object to or restrict processing
• Withdraw consent where applicable
• Data portability (in certain cases)

California residents (CCPA/CPRA): You have additional rights regarding the sale/sharing of personal information. You may submit a request at any time.

Opt-out for model training: You may opt out of having your User Content used for training via your account settings (where available).

To exercise any rights, email privacy@rileywrites.ai. We will respond within 30 days (or as required by law). We may need to verify your identity.

9. Security

We implement reasonable technical and organizational measures to protect your data. However, no system is completely secure, and we cannot guarantee that unauthorized third parties will never defeat our measures (consistent with the Terms of Service). You provide data at your own risk. Please notify us immediately of any suspected breach.

10. Children's Privacy

The Service is not directed at children under 18. We do not knowingly collect personal data from children. If we learn we have collected such data, we will delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be posted here with an updated "Last Updated" date. Your continued use of the Service after changes constitutes acceptance.
